Managing Data Compliance: How to Submit a Contact Deletion Request

At Flowcode, data privacy and security are at the core of our enterprise solutions. For organizations to properly follow global compliance standards (such as GDPR or CCPA), the ability to honor individual data deletion requests promptly is essential.

To support your compliance workflows and ensure seamless deployment of Conversion Flows across your entire enterprise, Organization Admins can easily manage bulk contact deletion requests directly from the Flowcode dashboard.

Why Use Contact Deletion?

Enterprise organizations are legally obligated to remove personal data upon a user's request. This capability allows your compliance or data operations teams to upload lists of contacts that need to be permanently purged from your Flowcode ecosystem, ensuring you remain fully compliant without disrupting broader workflows.

How to Submit a Contact Deletion Request

⚠️ Note: Only users with Organization Admin privileges can access the Contact Deletion tool and submit requests.

Step 1: Prepare Your File

Create a .csv file containing the unique identifiers (such as email addresses or phone numbers) of the contacts you need to delete.

Step 2: Navigate to Organization Settings

  1. Log in to your Flowcode dashboard.

  2. Click on the Settings gear icon at the bottom of the left-hand navigation bar.

  3. In the top tab menu under Organization settings, select the Contact deletion request tab.

Step 3: Upload and Submit Your Request

  1. Click the blue Submit request button in the upper right corner of the page.

  2. Upload your prepared .csv file which will contain the requested email addresses for deletion

    1. Please note: If you add “Email” as a column header in your CSV file, make sure to select the checkbox to indicate that the first row of your file is a header.

  3. Confirm and submit.

Step 4: Tracking Request Status

Once a request is submitted, it will appear in the log on your Contact deletion request dashboard. This log provides a clear audit trail for your compliance team:

  • FILENAME: The name of the uploaded .csv file for easy cross-referencing.

  • FOUND: The number of contact records successfully identified and purged from your system.

  • NOT FOUND: The number of identifiers in your file that did not match any active records in your Flowcode database.

  • STATUS: Tracks the progress of your request (e.g., Completed once the deletion is successfully executed).

  • SUBMITTED AT: The exact timestamp of when the compliance action was initiated.

Step 5: Receive Confirmation Email

Once your request has been processed, Flowcode sends a confirmation email to the submitting Organization Admin. The email shows how many contact records were deleted and how many identifiers were not found in your Flowcode database.

You can also click Download not found in the email to export the full list of email addresses that weren't matched, which is useful for cross-referencing against your own records.
