Custom Terms & Conditions (T&Cs) and Compliance Settings

Updated yesterday

Overview

The Custom Terms & Conditions feature gives organizations more control over their compliance and legal requirements within Flowcode. Admins can now create, manage, and share company-specific Terms & Conditions (T&Cs) and privacy notices from a centralized workspace. This update ensures that every campaign created in your workspace follows your own compliance standards—not just Flowcode’s defaults.

Why This Matters

Every brand operates under different legal and compliance frameworks. With this update, Flowcode makes it easy for organizations to bring their own compliance playbook into the platform.

You can now:

  • Maintain consistent legal language across all campaigns.

  • Ensure creators within your org automatically use your approved T&Cs.

  • Simplify privacy and consent management by centralizing updates in one place.

Workspace Admin Flow: Setting Up Custom T&Cs

Admins manage all company-wide legal content directly from the Workspace Settings → Terms & Conditions tab.

Here’s how it works:

  1. Access Workspace Settings

    • Navigate to your Workspace Manager and open the Terms & Conditions section.

  2. Create or Edit a T&C Set

    • Choose to create a new T&C set or edit an existing one.

    • Give each T&C set a unique name and optional description (duplicate names are not allowed for clarity).

  3. Add Your Content

    • You can either:

      • Paste or write your T&C copy directly in a text editor, or

      • Provide a URL linking to an externally hosted policy page.

    • Both options allow flexibility depending on how your organization manages compliance content.

  4. Save and Publish

    • Review your text or link-based T&Cs before saving.

    • Once saved, your organization’s T&C sets will appear in the selection dropdown for all creators in your workspace.

Creator Flow: Adding T&Cs to a Campaign or Form

Once an admin has published T&Cs, creators can easily apply them within the Flow Editor when building campaigns.

Here’s how:

  1. Open the Flow Editor

    • Choose a template or start from scratch.

  2. Select a Placement

    • Add custom T&Cs to either:

      • A landing page, or

      • A form within your campaign.

  3. Insert the T&Cs Module

    • In the left-hand menu, select Custom T&Cs.

    • Choose which T&C set to apply (text-based or URL-based).

  4. Review and Finalize

    • Text-based T&Cs can appear directly on the page or as a linked standalone section.

    • Link-based T&Cs will automatically redirect users to the provided policy URL.

    • Once added, your campaign is fully aligned with your organization’s compliance setup.

Key Benefits

  • Centralized compliance management: Keep all T&C updates in one admin view.

  • Flexible implementation: Choose text or URL formats.

  • Creator access control: Only approved T&Cs appear to workspace members.

  • Streamlined governance: Ensure every campaign meets organizational standards automatically.

Best Practices

Pair T&Cs with Email Opt-Ins:

For the clearest and most compliant user experience, always place your Custom Terms & Conditions module next to or within your email opt-in or form component rather than as a standalone module. This ensures that users are explicitly acknowledging your terms at the point of data collection, which is especially important for GDPR, CCPA, or other consent-based regulations.

When to Use Text vs. Link Format:

  • Text-based T&Cs are ideal when you want users to view the full policy inline, without needing to navigate away from the landing experience.

  • Link-based T&Cs are better for longer or regularly updated legal content hosted externally.

Choose the format that best suits your content and workflow needs.

Summary

The Custom Terms & Conditions module is part of Flowcode’s broader “Bring Your Own Compliance” initiative, empowering organizations to define, enforce, and maintain their own legal standards across all campaigns. This update helps teams stay consistent, compliant, and trustworthy—giving your audience confidence that every interaction with your brand is secure and transparent.
