Which workspace to use for what and when - Team vs. Personal

Updated over 2 months ago

Overview

When you enter the platform, you are automatically taken to your default team workspace. This workspace is designed for collaboration and is central to sharing, managing, and utilizing resources such as assets, data, and insights across your organization. However, Flowcode also provides personal workspaces, which are geared towards users who need more autonomy, particularly those in roles where information is not commonly shared with a team, such as independent contractors in real estate or insurance sales.

Both workspaces serve distinct purposes, and choosing between them depends on the nature of your work and collaboration needs.

Team Workspaces

When to use:

  • Collaboration: Team workspaces are ideal for users working within a team or organization where access to shared assets, data, and insights is crucial. These spaces foster collaboration, allowing users to build projects together and keep everything centralized for easier access and reporting.

  • Organizational Cohesion: In a team workspace, assets created are available to all team members, making it easier for large-scale organizations to maintain continuity and alignment in their marketing, sales, or operational strategies.

  • Workspaces for Departments or Campaigns: Flowcode allows organizations to create multiple team workspaces depending on department needs or specific campaigns. This ensures that the right team members can access and contribute to relevant projects.

  • Security and Permissions: Team workspaces benefit from Flowcode’s enterprise-level security features. Team administrators can assign roles and permissions, ensuring that only authorized personnel have access to sensitive data.

Key Features:

  • Collaboration tools for real-time team interaction and updates.

  • Shared assets that can be used across different projects.

  • Seamless CRM integration for collective data management.

  • Permission settings that allow for role-based access within the organization.

Personal Workspaces

When to use:

  • Autonomy: Personal workspaces are designed for users who do not need to share all their work or data with a team. These spaces are perfect for individuals who work more independently, such as freelancers or contractors in industries like real estate and insurance.

  • Exclusive Control: Assets and data created in personal workspaces are fully controlled by the user. This means that the projects are not accessible to anyone else within the organization unless manually shared.

  • Privacy: Given the nature of personal workspaces, they are ideal for users who require more privacy or separation from team workflows. This setup is especially useful for independent professionals whose work does not need to be integrated with the broader organization.

  • Limitations: Assets created in a personal workspace cannot be transferred to a team workspace. Therefore, if you anticipate needing to share your assets later, it might be better to start within a team workspace.

Key Features:

  • Full autonomy over all assets and data created.

  • No team access unless intentionally shared.

  • Ideal for independent contractors or roles with minimal collaboration.

Which Should You Use?

Use Team Workspaces if:

  • You are collaborating with colleagues and need shared access to assets, data, or workflows.

  • You are part of a department, campaign, or team where multiple stakeholders need access to the same resources.

  • Your work relies on team inputs, such as shared marketing campaigns, customer data analysis, or joint sales efforts.

Use Personal Workspaces if:

  • You work independently and do not need to share your assets or data with a broader team.

  • Your role involves managing sensitive or confidential information that doesn’t need to be shared across your organization.

  • You want complete control over your assets, with no risk of organizational interference.

Understanding the distinction between these workspaces ensures that you use Flowcode to its fullest potential, streamlining collaboration when necessary or enabling individual control when required. Whether you're working with a team or independently, Flowcode's flexible workspace options ensure you can manage your tasks efficiently while keeping data secure and organized.
